Contact messages

When you use the contact form, your name, email address, the chosen topic and your message are stored in a PostgreSQL database on my own server in Belgium. I receive a copy by email and you receive a confirmation email.

I use these data only to answer your message (legitimate interest, art. 6.1.f GDPR). They are never sold or used for marketing.

Messages in the database are deleted automatically 12 months after they were sent. The email copy in my mailbox is not deleted automatically. You can ask me at any time to delete your message and that copy sooner.

Services involved

  • Hosting: my own server (Synology NAS) in Belgium.
  • Cloudflare (US company): all traffic to this website passes through Cloudflare (network, security and tunnel). Cloudflare processes your IP address to deliver the site, possibly outside the EU, and can add a small security script to pages to detect bots.
  • Brevo: sends the notification email to me and the confirmation email to you.
  • Google Workspace (US company): hosts my mailbox, where the email copy of your message and any further correspondence are kept.
  • Sentry (EU region, Frankfurt): technical error reports and performance measurements. No session recordings, no user info, cookies or form contents.

Cookies and local storage

This website itself sets no cookies and uses no analytics or marketing trackers. Your browser only stores your language and theme choice (local storage), which is needed for the site to work as you chose, so no consent is required.

Server logs

Like any website, the web servers keep technical server logs (IP address, requested page, time and browser) for security and troubleshooting. They are rotated automatically and are not used to profile visitors. To limit abuse of the contact form, your IP address is also kept in the server's memory for at most two hours; it is not stored with your message.

Your rights

Under the GDPR you have the right to:

  • access the data I hold about you;
  • have incorrect data corrected;
  • have your data deleted;
  • restrict the processing;
  • receive your data in a structured format;
  • object to the processing.

You can also file a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).
